By booking an appointment or using our website, you agree to these Terms & Conditions.

2. Appointments & Cancellations

Appointments can be booked online or by phone.

Please arrive at least 10 minutes before your scheduled appointment.

Cancellations or reschedules require at least 48 hours’ notice.

Late cancellations or no-shows may be charged at 100% of the treatment cost.

3. Payments

All prices are listed in GBP and include VAT (where applicable).

We accept major debit/credit cards and other payment methods stated at checkout.

Gift vouchers are non-refundable and must be used within 12 months of purchase.

4. Health & Safety

Our treatments are intended for relaxation and wellness only. They are not a substitute for medical treatment.

Please inform us of any allergies, medical conditions, pregnancy, or skin sensitivities before your appointment.

We reserve the right to refuse treatment if we believe it may cause harm to the client or therapist.

Contraindications
Japanese Head Spa treatments may not be suitable for everyone. These services are not recommended for individuals who:

Have open wounds, infections, or skin conditions on the scalp or face.

Have contagious illnesses or active lice infestation.

Have recently undergone head, neck, or facial surgery (within the last 6 months) unless cleared by a medical professional.

Experience severe migraines, vertigo, or other neurological conditions that may be aggravated by massage.

Have cardiovascular concerns, uncontrolled blood pressure, or are advised by a healthcare provider to avoid heat or massage treatments.

Are pregnant, unless approved by their healthcare provider.

Have hair extensions, braids or similar fitted due to the process of the treatment.

Not suitable for clients with recent colour, keratin, or chemical treatments (within 48–72 hours).
The scalp massage and cleansing may affect fresh treatments.

By booking an appointment, you confirm that none of the above apply and that you have disclosed all relevant health information prior to your treatment.

5. Liability

While we take every precaution to ensure your safety and comfort, HQ Japanese Head Spa shall not be liable for any loss, damage, or injury arising from treatments unless caused by our negligence.

Personal belongings are the responsibility of each client.

6. Website Use

All content, text, images, and branding on this website are the intellectual property of HQ Japanese Head Spa.

You may not copy, reproduce, or use our content without prior written consent.

You agree not to misuse our website (e.g., hacking, data mining, or spreading malware).

10. Gift Card & Voucher Terms and Conditions

1. Gift cards and vouchers are valid for 12 months from the date of purchase unless otherwise stated.
2. They are non-refundable and cannot be exchanged for cash in part or in full.
3. If the full value is not used in one transaction, the remaining balance will be retained as credit and can be used towards future treatments within the original validity period.
4. Gift cards and vouchers are non-transferable and may only be used by the person named on the voucher (if applicable).
5. Lost, stolen, or damaged vouchers cannot be replaced — please treat them as cash.
6. Vouchers must be presented at the time of the appointment or when booking is made.
7. Vouchers cannot be used in conjunction with other offers, discounts, or promotions unless specifically stated.
8. Extensions beyond the expiry date may be granted at the discretion of HQ Japanese Head Spa York (an administrative fee may apply).
9. HQ Japanese Head Spa York reserves the right to amend these terms without prior notice, provided that any such changes do not affect vouchers already purchased.
10. Gift Cards and Vouchers can be purchased in store or over the phone and will be given a unique code to be used at a later date, please book in as usual online and bring your gift card/voucher code with you.
